How to manage or Edit List or Library permission on SharePoint online


This is article is very important frequent task of any if SharePoint administrator, assigning the permission to list or Library available on SharePoint site or page.
We use to get other task intervals but we use to get very much frequently I can say daily about List and Library permission and related the same.
As an administrator or owner of a library, list, we can change permissions to let the authorized people access the data. By default, all sites, lists, and libraries in a site collection inherit permissions settings from the site that is directly above them in the site hierarchy. It means site collection list or Library will be inherit to the subsite of the same.
So now we will start working on List or Library permission and settings for SharePoint Online.
Today I will be working on below topics for SharePoint List and Library
  • Access the Permissions page
  • Break permission inheritance in SP Online
  • Assign unique permissions for particular users
  • Change permissions levels in list or Library
  • Remove unique permissions from Any of List
  • Restore inheritance to delete all unique permissions
Access the permission Page:
  • To access the permission page for SharePoint site List or Library, select site setting from gear box on the top of page.
  • Now click on the any of List or Library and open the same, make sure we will have some of data to show permission.
  • Now click on Library setting from the library Ribbon page and select permission for the Document Library

Break permission inheritance in SP Online
  • Now click on Permission ribbon on the Top of page and select Stop inheritance permission.


  • Once we will click on stop inheritance, it will ask to us for confirmation, just click on ok and now we can see inheritance page is stopped.

Assign unique permissions for particular users & Change permissions levels in list or Library
  • We will assign a unique permission for one of user on SharePoint.
  • Follow the above points same as mentioned, now will be on the permission n page where we need to select Grant Permission from Permission Ribbon.


  • Here Type user name and can share with the same user, from the share page wizard and select user from Invite option.

  • Now we will add some more option from share document and Libarry which is available default.
  • We will share the Library with some unique Change permissions levels in list or Library, click on Show option from share wizard and select any of from default permission level. Refer below screen shots:


  • Once select the permission level, click on ok Share button, one of email be going to the users. Now we will able to access this list with particular users.
Remove unique permissions from Any of List
  • To remove unique permission from any of list on SharePoint, we need to select List or Library and go to the Library setting page by selecting from Library setting page.
  • Select Library permission setting option available on the setting page and select user from available list of users.
  • Now select users and click on Delete Unique Permission from Permission ribbon page. See below


Check permission for users on SharePoint list or Library.
  • Go to the List or Library and open the same, click on List or Library setting from ribbon page on the Top of page and select Library setting.

  • Now select permission for Document or List Library, here we will get option Check permission from Permission Ribbon page.
  • Now it will ask to enter user name which you want to check for.


  • Once enter user name and click on check now button, It will show permission given to particular user at down side.
