Working with Images in a SharePoint Online

In this article, we will describe all about working with Images in a SharePoint Online.
Today, I am talking about Images in SharePoint and uses of the same, in this article I will be discussing shot about Picture library and we will have demo for various way to upload and add images in SharePoint Site pages.

Let us start from one by one as said above:
About Picture Library:  It is inbuilt library from SharePoint online which enable us to share collection of digital pictures or graphics. We can upload images to picture Library from site such team site, Blogs, Wiki or other publishing site. We can Use the same images from anywhere in the same site collection and can access centrally. Picture Library is inbuilt Application and Web part for SharePoint online or On-premises from 2010 version. If we will see in the SharePoint site collection there will be three type of Image Library will be showing under the site contents page:
Picture Library
Wiki Page Library
Asses Library

How to add Pictures in Library and Page with various ways: In this section, I will describe more about how to add picture in the Picture Library or other page in the SharePoint Online in multiple ways.
Let us start one by one adding images in the SharePoint page:

  • Open any site page of SharePoint online, click on edit from the Ribbon and Page tab or left side edit option will be available, also can edit the page from site settings gearbox and select edit page. Below is the Screen shot for all above said option:
  • Now remove default, Get start web part and we will see how to add images here.
  • Click on Insert tab from SharePoint Online Ribbon page and click on Picture, it will get drop down option with three option: From Computer, From Address, From SharePoint
From Computer:  If we are selecting from computer option from insert image on SharePoint Online.
  • We need to browse and Upload Image from Local system. Select path by clicking on Browse option, check box for existing same name, and add new version for same name of image.
  • Select destination Library by default Site collection Image Library will be selected, you can select other Images from other available library drop down box.
  • Version Comment: write a comment and click on ok, see below screen shot for more details:

From Address: using this option we can copy any available image on the Internet and can insert to any of page.
Note: If copied Link image will be deleted from destination folder or URL, Image will be unavailable from inserted page.
  • To add from address click on Image drop down box and select add from address, one POP up box will get open paste url and enter alternative text and click on ok. See below result:

From SharePoint: We can upload images anywhere from available in the SharePoint site collection. From the same site collection we can use for any of Library page, subsite or others..
  • To add images from SharePoint option under the Image: click on the from SharePoint and it will open in new wizard of select an assets, Here select images from available library or enter URL within the same Site collection and click on Insert.

Above steps were from Insert Image option, now I will show some other way to upload or add images in SharePoint Online.
Copy and Paste: We can add image just by copy and paste option.

Adding Image from Web Part: we can add Image from web part available in SharePoint.
  • Just select Add web part and select Image Viewer from Media and contents and click on add.
  • Once web part will get added select web apart, edit the same web part and assign the image URL from saved path, click on Apply, and ok. See the Below Result and steps in the screen shot:
Adding Image from Web part called Picture Library slide show:  We can add images as slide show in the same page or Site.
  • Click on page or site and edit the same, click on add web part from insert tab and drop down for the media and content under this web part we can see the sub web part called Picture Library slide show is available just add this.
  • Once Slide show is added configure the by edit web part and assign the folder or path where many of images are uploaded.
Adding Images using Site App Part: We can add images to SharePoint site using App Part.

Adding Image Slide show from Apps in the SharePoint from SharePoint Store:
We can add image slide show from Apps also, this will be free version Just Navigate your site contents and select your SharePoint Store.
Search for Free Slider App, and click on Add it.

  • Just click on the app and add it to the site.
  • Once it will add will prompt us for Trust this app, click on trust this app and click on create App List from Site content:
  • List has been added, now we need to configure this App.

How to customize your SharePoint online (team Site)

In this article, we will learn about how to customise SharePoint Online team site.
Today, I am talking about “How to customize your SharePoint online (team Site)”, we have subscription from the Office 365 for SharePoint Application and by default we will get one of created site is called Team Site. Team site is to use for work together under the team, we can use the single platform to get together and update from each other using Team Site of SharePoint.
With office 365, we can use site to store documents and collaborate with employee any time and any device. To make most view-able our team site we need to customise the site for business need and make it as your own company web site.
Let us take a look of Office 365 team site, to get that click on Site under the App Launcher from Office 365. See below screen shot for the same:
By default on team site, we can below listed information and List added:
  • Logo
  • Description
  • Quick Launch includes with document, Notebooks, site contents, recent page
  • News feed
  • Documents
  • Get started with your site
Customise the Team site in your style:
Let us start from one by one, first choose your own logo and change description:
Below showing you how to change the Site Title, Logo, and description. We can modify this as per our customer requirement.
To change the Logo description and Site Title, follow these steps.
  • Log in to the site and click on "Gear Box" on the right side of the site.
  • Select Title, Description, and Logo under the "Look and Feel".
  • On the title description and logo wizard, we need to select and enter the details the below.
Title: Enter the Title for the site.
Description: Enter the description of the site.
  • On the Logo and Description
  • Insert Logo from Computer or from SharePoint and enter Logo Description. Add a document dialog, type or browse for the filename, and then click OK.

  • Once you are all done, click on OK. It will take us to the site settings page. Go to "Home" site page. Now, see the result.
Now have done with adding Logo, Site description and remaining; now you can check your site looks something better for your organization.
Moving to next, Let us customise the home page of Team site.
To customise your team site page, Click on Page tab from the top ribbon or click on setting page and edit the page, see below screen shot:
  • Remove unwanted web part from the page by selecting and right on the same and click on delete.
  • Select text Layout and select your own required layout from drop down box.
  • Just Add welcome Message on the Header box and Footer box and enter your welcome message
  • Once all done, create new  prompted List and add your all top listed data and URL with Images
  • Now add that Prompted List to Team site Home page, to do the same edit page and click on insert button from ribbon page and select app part.
  • Once clicked on App part, it will prompt us all created App part on the Site contents library, from here just choose created Prompted App part and add it.
We can do some more changes here from added App part as if we can hide the name from the page, we can change chrome type and many more here. Now Apply and ok and see the result:
  • Now we can see our page is changed from default, there is a lot more we can do here like we can change the Navigation, can add Quick Launch on this page and more.

From here we can do Lot of Customization of your site using Master page in case you want to change the Layout of Site Page.




All About Office 365 administrator roles & Type


In this article I am writing about all about office 365 administrator roles and type of Office 365
Today I'm writing about Office 365 rules types which comes under for office 365 when we are purchasing any new subscription from the same 
So last article I have written about the SharePoint admin roles and types below is the URL from where you can visit and learn more about the SharePoint admin roles semicolon space from the office 365 administrator we have various kind of roles:
As it is known for everyone Office 365 comes with a set of administrator roles that we can assign to user in our organization is administrator roles map to common business function and gives those people are employed permission to do a specific task for office 365 admin Centre Office 365 will have a lot of applications and for each and every application and they will be having their own administrator like Office 2013  administrator, Exchange Administrator, SharePoint Administrator, Project server Administrator etc……
Below are the description and screenshot for office 365 admin Centre roles and types basically we can see on the screen it will be showing 3 type of Rose the first user with no administrator permission , second Global administrator and third customized administrator

  • To Access the Permission setting, click on Admin option from Office 365 Home page.
  • Select any user from the User> Active User and select user roles
  • We can make user as a Global Admin from here other said as above.

Let us describe about roles available for Office 365:

  • User (No Administrator access): assigned this role for user who should not be part of administrator or part of administrator.
  • Global administrator: The Global administrator of the Office 365 portal is also a SharePoint Online administrator. When we purchased Office 365, once we will login to the purchased tenants a team site is automatically created, and the Office 365 global admin is included as the primary Site Collection administrator for that site (if you wish to change the same we can change later also). Make sure we need to assign yourself (Administrator) a SharePoint Online license to access these services or you will receive an "Access Denied" message.
  • Customized Administrator: under this administrator role we have many of application which we can configure. See below screen shot:
  • Billing Administrator: responsible for marks purchases, manages subscriptions, manages support tickets, and monitors service health, below is the screen shot for the billing part in the Office 365.

  • Exchange Administrator: It role will manage mailboxes and anti-spam policies for our business, using the Exchange admin center. We can view all the activity reports in the Office 365 admin center. This role helps administer of Office 365, we can assign users permissions to manage your organization's email and mailboxes from the Exchange admin center. We do this by assigning them to the Exchange admin role.
  • Password administrator: Responsible for Resets passwords, manages service requests, and monitors service health. Password admins are limited to resetting passwords for users.
  • Skype for Business administrator: This role is configured for Skype Business for our organization and can view all the activity reports in the Office 365 admin center.
  • Compliance admin: Using for Manages security and compliance policies for our association.
  • Service administrator: By assigning this role to user can opens support requests with Microsoft, and views the service dashboard and message center. This is most important part for any of administrator because most of admin permission is still with MS support like checking ULS and many more. With this option we can raise request to MS and work with them to fix this issue.
  • User management administrator: Most of Management administrator task like assigned under this role of office 365 like Resets passwords, monitors service health, adds and deletes user accounts, and manages service requests.
Note: The user management admin can’t delete a global admin, create other admin roles, or reset passwords for global, billing, Exchange, SharePoint, Compliance and Skype for Business admins.
  • Microsoft Dynamics CRM Online: Global Administrator is having this application permission to control. There is no specific user role created for this service application.
  • SharePoint Administrator: Using SPO online admin account we can handle most of task given on the tenants, like creating site collection, creating and adding new App under the App catalogue site, we can manage the most important part of SharePoint called User profile, can do settings and more.
SharePoint Administrator use to manage the document storage for your business on SharePoint Online. We are doing this all task under the SharePoint admin center. They can also assign other people to be Site Collection administrators and Term Store administrators.
Key tasks of the SharePoint Online administrator
Below are the some of the tasks users assigned to the SharePoint Online admin role:
  • Create site collections
  • Manage site collections and global settings
  • Assign site collection administrators to manage site collections
  • Manage site collection storage limits
  • Manage SharePoint Online user profiles
Few other Application will be exist for customized administrator, it’s depend on your purchasing subscription, and the above all pointed administrator is common for Office 365.
Delegated administration: this is most important part for any application, sometime we need to give some specific permission to the user for time being, like we need to give administrator permission to the user for some time, for that time we can assign full administrator rights to the user, in that case we use called delegated administrator.

About the SharePoint Online admin role
This article is about the SharePoint admin roles and to do task with Admin accounts.
SharePoint Online Admin: The person or object who is having initial permission to access everything under the server or any machinery object. Alternatively, in definition word I can say “A SharePoint administrator is the person in an organization who is responsible for overseeing an installation of the Microsoft SharePoint collaboration and content management platform and manage the all services, Application and other objects” To help your administer SharePoint Online, we can assign one or more users to the SharePoint Online admin role so in this case we can separate the tasks and duties with all other co-workers and maintain task status healthy.
So Today I am going to describe your each of the administrator roles available in SharePoint Online listed in order of the permissions hierarchy.
We have three types of Admin Roles security available for SharePoint Online, Below is the screen shot of Office 365 Security role:

For each of the security roles is having different roles and responsibility and above security roles s define office 365 and as we know SharePoint is having all control on the same, I will be described the all above security description.
  •  User (no Administrator Access): assigned this role for user who should not be part of administrator or part of administrator.
  • Global administrator: The Global administrator of the Office 365 portal is also a SharePoint Online administrator. When we purchased Office 365, once we will login to the purchased tenants a team site is automatically created, and the Office 365 global admin is included as the primary Site Collection administrator for that site (if you wish to change the same we can change later also). Make sure we need to assign yourself (Administrator) a SharePoint Online license to access these services or you will receive an "Access Denied" message.
  • Customised Administrator: under this administrator role we have many of application which we can configure.
The SharePoint Online administrator, chosen by the Global administrator, has access to the SharePoint Online admin centre and can create and manage site collections, designate site collection administrators, manage user profiles, and more. See more about this role's key tasks below.
As I mentioned, if we are purchasing new tenants with very basic subscription of SharePoint online, in my case I have taken a trial for subscription Office 365 Enterprise E5 Demo, and I have logging with given user account  (default that user is having administrator rights). So let us login to the Portal.office.com site and access the Admin site and select SharePoint and we can see there will default site will created, shown below screen shot.
Steps: Login to the Portal Office site and click on admin option from left side of the screen:
  • Click on SharePoint: we will getting some site has been created and we can access the all site from default given administrator login. We can change this user also and make sure some user should be global administrator site and should added those user to the groups which can access all site given below.
Let us start back from SharePoint online Admin role: Using SPO online admin account we can handle most of task given on the tenants, like creating site collection, creating and adding new App under the App catalogue site, we can manage the most important part of SharePoint called User profile, can do settings and more.
  • Site collection administrator: The Site collection administrator, which can be designated by the SharePoint Online administrator, has permissions to manage a site collection. A site collection can have several administrators, but only one primary administrator it won’t allow us to add multiple primary administrator to the same. The SharePoint Online administrator can assign permissions to the primary site collection administrator when creating a site collection, and can add more administrators for the site collection afterwards. Site collection administrators do not have access to the SharePoint Online admin centre. We have option Manage administrator option on the SharePoint Admin page, select site collection and click on Manage and assign the Primary administrator and site collection administrator.
  • Primary Site Collection Administrator: Specify the administrator for this site collection. Only one user login can be provided; security groups are not supported for this.
  • Site Collection Administrators:  Site Collection Administrators are given full control over all Web sites in the site collection. They may also receive site use confirmation mail. Enter users separated by semicolons. We can groups as well for the site collection administrators. See below screen shot:

NOTE: we have a separate administrator role for Term store administrator, who can add or change terms in the term store, a directory of common terms you want to use across your organization.
Key tasks of the SharePoint Online administrator
Below are the some of the tasks users assigned to the SharePoint Online admin role:
  • Create site collections
  • Manage site collections and global settings
  • Assign site collection administrators to manage site collections
  • Manage site collection storage limits
  • Manage SharePoint Online user profiles
Don’t be confused with SharePoint Administrator & Office 365 role and types there is lot of changes in between both of administrator. Office 356 is platform where multiple of cloud services are available but SharePoint is part of that, using Office 365 we can user Exchange, Active Directory, Dynamics, Project server, Office, Sway, PowerApps, Flow and many other mores.
